Location: South Shore , MA (on-site training required; hybrid/WFH thereafter)

Reports to: IP Attorneys
Support: 2-3 attorneys

(Must be able to come into office for meetings or if requested)

Overview

Our client is seeking a Legal Administrative Assistant to support a small team of Intellectual Property (IP) attorneys, primarily in the patent practice. This is an excellent opportunity for a motivated legal assistant or paralegal who has an interest in learning and growing within IP law.

Responsibilities

  • Provide administrative and legal support to 2-3 IP attorneys
  • Prepare and electronically file U.S. patent applications, responses to Office Actions, assignments, and related patent documents (training provided if no prior patent experience)
  • Assist with document preparation, proofreading, and formatting
  • Manage correspondence with attorneys, clients, and internal team members
  • Maintain organized electronic files and docketing support
  • Coordinate deadlines and assist with prioritizing attorney workflows
  • Perform general legal administrative duties as needed in a fast‑paced environment

Qualifications

  • Prior U.S. patent prosecution or IP experience preferred, but not required
  • Strong interest in intellectual property law and willingness to learn
  • Excellent written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint)

Work Environment & Schedule

  • Initial on‑site training required
  • Work‑from‑home flexibility available after training period
  • Office located south of Boston
  • Free parking and on‑site cafeteria

  • Legal assistant or paralegal looking to transition into IP
  • Someone who is motivated, curious, and eager to grow long‑term with a firm
  • Comfortable supporting multiple attorneys and taking ownership of responsibilities


Desired Skills and Experience

Core Experience

legal assistant or paralegal experience (required)
Patent/IP experience preferred, but not required (firm will train)
Experience supporting multiple attorneys (2-3 attorneys)
Background in a law firm environment with deadline‑driven work

Technical / Functional Skills

Preparing and filing legal documents (training provided for patent filings)
Comfort with electronic filing systems (USPTO experience a plus)
Strong working knowledge of Microsoft Office:

Word (document formatting)
Outlook (email and calendar management)
Excel (basic tracking)
PowerPoint (occasional use)



Soft Skills / Work Style

Strong communication skills (works closely with attorneys, staff, and clients)
Highly organized with strong attention to detail
Ability to prioritize and manage multiple tasks in a fast‑paced setting
Motivated, curious, and eager to learn, especially IP law
Reliable and professional; able to work independently after training
